Disbursement Kaizen Results
The disbursement project was one of the original 4 Kaizens completed during our demonstration phase in 2015. The purpose of the project was to enhance the disbursement (how we pay a bill) process through cutting processing costs and being more uniform. The project is now is sustainment. Here are the results:
  • Electronic payment processing – decreased printed checks by 5.725%, increased ACH processing by 5.8%, increased invoice payments through pCards by 7.5%, increased pCard rebate revenue
  • Reduced use of paper and time per invoice for food service refunds, casual labor and workers compensation
  • Created online training videos
  • Centralized electronic invoice and pCard receipt and distribution
  • Payment disbursement went from semi-monthly to weekly – invoice date to pay decreased from 32 to 29, received date to pay decreased from 15 to 13

Shout Outs!

Awesome job Teaching & Learning team for recognizing processes that are not Lean and starting the conversation with your Steward to make improvements!
Way to go Song Luong, Jenny Deeds, Patty Casson and Polly Morgan for improving the invoice process for one CNC vendor through the removal of a handoff, paying the invoices weekly verses monthly and saving 2 hours of time each month!
